On this moment F4E Football is active in more than 45 clubs in Zuid-Holland, Noord-Brabant, Gelderland, Utrecht and Noord-Holland. At these 45 clubs there are more than 150 enthusiastic and involved active coaches. All have chosen for a (part-time) job whereby sportsmanship, flexibility and good earnings are leading. Our coaches work for every football player and can go along on different areas inside F4E Football. Private training is given, also small group training and we provide club coaches for every club on every level. To manage this all, we also provide experienced (club) coordinators who make sure that the coaches are coached and being provided with the right quality. F4E Football offers jobs from 4 to 40 hours.

OFFICE MANAGER

For F4E Football we are searching for a Personal Assistant/Virtual Assistant for 20 hours a week.

Distribution of the hours are as following:
10 hours virtual assistance and 10 hours at the office.
You will be working for about 5 days a week, 4 hours a day.

You come to work in the F4E Football team, whereby the office in Rotterdam is your permanent location. You work as a Personal/Virtual assistant.

With this position the following tasks are related:

  • Calendar management and communication
  • Provides the calendar management (planning, agenda setting and coordinate appointments and draw attention to commitment of this) of CEO Godwin Falix. Prioritizing is in consideration with the (internal) customer. 
  • Registration of those present at training, plans the training sessions for the coaches.
  • Provides inbox management (co-reading and priorities) of partner and director. Prioritizing is in consideration with the (internal) customer
  • Act telephone traffic independantly and evaluate it on relevancy and priority for CEO or manager. Is able to connect the right persons.
  • Close contact with internal and external relations
  • Fullfills a pivotal role inside a internal team and acts as contact point for employees and internal and external relations related to the part of the organization, personal as well as via telephone/e-mail
  • Meeting and travel arrangements
  • Prepares, plans, organizes and taking minutes of meetings and discussions
  • (Partly) responsible for preparing, planning and organizing little and medium meetiings and events, on indication of the (internal) customer. Places appointments and action items in the right context for further folluw-up
  • Planning and organizing of business trips, travel documents and (hotel) reservations
  • Arranging tickets for football matches at amateur level as well as professional level
  • Incoming and outgoing correspondence
  • Screening and assessing incoming documents on importance, priority and type of handling
  • Taking care of incoming and outgoing correspondence or submit it to the right person
  • Treat confidentional information and personal data correctly

  • Taking care of the attendance register at all establishments and administers the absence of customers
  • Communication between customers and staff
  • Arranging shoes for players at brands as Nike, Adidas and Puma
  • Work out of e-mais, letters, memo and messages
  • Internal assistance
  • Filling orders of our online platform with customers
  • Plans appointments with management of football clubs
  • Creating content and writes news articles for website and social media
  • Provides substantive assistance (for example in the field of sales, industry, talent or project) based on a specific assignment of (internal) customers 
  • Collect, trace and ask for information
  • Producing/drawn up of specific reports
  • Making of tenders, send invoices to customers and go after payments
  • Archiving
  • Documentating and archiving of documents, physical as well as digital
  • You do administration during our events and the follow-up of the invitations

Functional requirements

  • You have relevant completed training at MBO level (for example Schoevers, Executive Secretary or Personal Assistant)
  • You have relevant professional experience, preferably you have worked for a big company
  • Availabilty of 20 hours a week
  • You have recent experience with MS Office and archiving systems/document control systems
  • You have an excellent knowledge of the Dutch and English language, both spoken and writing. An excellent knowledge of English is an advantage
  • You are careful and accurate
  • You can provide a service and are customer-orientated
  • You are quick-witted, can take proactive action and has to stand firm in your shoes
  • You are flexible and sets the right priorities
  • You have integrity and you have to cope with confidentional infomation carefully
